NHEP Workplace Success Program Operations Coordinator (Concord with statewide travel - 35 hrs/wk)

Job Description:
The NHEP Workplace Success Program (WPS) Operations Coordinator provides direct support to management and staff of the Workplace Success Program to ensure proper implementation of programmatic, operational, administrative, and technical processes. Daily objectives are to independently manage process improvement initiatives, staff/participant support, and ensure brand consistency across Career Centers statewide. This position may require extensive research, data analysis, collaboration, problem-solving, and collaborative interaction with a variety of internal and external sources. The Operations Coordinator will work closely with the State of NH including DHHS Management, NHEP Field Support Managers (FSMs), NHEP Team members, NHEP contractors, and TANF public assistance applicants and recipients. This position will require the incumbent to work on multiple tasks in a busy team-based work environment with a main reporting location of Workplace Success Program space Concord, NH.

Supervision Received:
Works under the direct supervision of the NHEP Administrator.

Supervision Exercised:
The NHEP Workplace Success Program Operations Coordinator does not exercise direct supervisory duties, but may be tasked to take the lead on specific projects/programmatic initiatives as assigned.

Education and/or Experience:
Bachelor’s degree from a recognized college or university with major study in Human Services, Business or Program Management, or Economics is preferred although not required. Equivalent professional work experience in program operations, monitoring, and evaluation will be considered. A combination of education and experience that demonstrates an ability to fulfill the duties of the NHEP Operations Coordinator will also be considered.

• Experience in researching data to provide positive solutions to management and customer inquiries;
• Proficient in preparing statistical, financial, and other management reports and presenting as required;
• Demonstrate the ability to organize and maintain participant and contract records;
• Ability to effectively communicate research outcomes and auditing processes both verbally and in written form to Management
• Ability to creatively provide positive solutions and service oriented outcomes;
• Prioritize daily task, set priorities, and coordinate across Career Centers as needed;
• Travel between Career Centers to ensure brand consistency and have the skill to effectively communicate operational expectations;
• Proficient in using various e-mail platforms, Microsoft Windows, Word, Excel, PowerPoint, Google Docs, Microsoft Teams, One Drive, document conversion, and database skills;
• Prior work in the education, people management, employment processes, counseling and/or training field;
• Knowledgeable working with Federal Regulations, auditing, quality assurance, and report management standards preferred;

General Responsibilities:
• Works with WPS Management to create, maintain, and sustain program operation activities to a set program standard in all locations Statewide.
• Liaises between customer, management and program staff to meet expectation and agency goals. Participates in review of all available statistics and reports to help assist in data driven decision making daily, weekly, monthly, and quarterly for highest program performance.
• Works with NHEP Administrator to identify and perform tasks for improved program performance, and compare reports and statistics to evaluate identified performance measures. Identify opportunities in operations process and present resolution in quick and timely manner for approval and ability to execute.
• Coordinates and manage project tasks to ensure project delivery within allotted budget and timelines. Plans outline for improvement with appropriate timelines for follow up with program vs. staff accountability.
• Manages required databases, updates and distributes electronically revisions to the designated staff needing to review and comment. Ensures compliance with program and agency standards and procedures.
• Uses the appropriate technology for all deliverables in accordance with program requirements and needs.
• Create charts, tables, diagrams, flow charts, charts, etc., to depict operations and performance outcomes, including tracking of contractor outcomes;
• Provides direction and guidance to internal teams to achieve performance targets.
• Maintains clear and accurate operations documents, procedures, and inventories for reference purposes.
• Establishes effective business systems and procedures to support Combined Service Program operations;
• Maintains the confidentiality of clients and staff in accordance with DHHS and SNHS policy and procedure;
• Abides by all State and SNHS safety policies and procedures;
• Presents professional and positive image at all times as a representative of SNHS;
• Responsible for having adequate knowledge of all SNHS programs by gaining knowledge of local CAP programs and services in the area such as Head Start, WIC, and Fuel/Energy Assistance; and
• Perform other related duties as required.
